Every year Barcelona hosts congresses and trade fairs at the Fira de Barcelona venues (Gran Via in L'Hospitalet de Llobregat, and Montjuïc), at the Centre de Convencions Internacional de Barcelona near the Fòrum, and in hotels with conference rooms. On those days traffic and demand for taxis rise sharply, so it pays to have guest transport booked well in advance.

The most common services are transfers from Barcelona-El Prat Airport to the hotel, trips between the hotel and the venue in the morning and evening, dinners or events outside the main programme, and the return to the airport. We also handle transport for company seminars and forums held in hotels or country estates outside Barcelona.

How we coordinate guest arrivals

The key to good event transportation is the guest list. Using flight and schedule details, we group people arriving at the same terminal within a similar time window and decide which vehicles are needed. This avoids half-empty cars and unnecessary waiting, and every guest is met by a chauffeur holding a sign with their name.

During the event, we match pick-up times to the programme: departures from hotels before the opening session, collections at the end of the day and transfers to dinners. Last-minute changes are common at a congress, so it is important to have a contact on your side who can confirm any changes to us quickly.

Vehicles for groups, speakers and VIP guests

For groups, the Top-Van is a minivan for up to 8 passengers, suited to trips between the hotel and the venue or taking a delegation to the airport. When the group is larger, we combine several Top-Vans and saloon cars so that everyone arrives on time, and we schedule departures in waves if needed.

For speakers, officials or VIP guests, we recommend an individual vehicle from the Top category (long-wheelbase Mercedes S-Class) or the Business category (Mercedes E-Class or Audi A6). Chauffeurs wear a suit and tie, are discreet and speak more than one language, which matters when guests come from many different countries.

Custom quote and event invoicing

Every event is different, so the price is set in a custom quote based on the number of guests, the days, the routes and the vehicles required. Once approved, the price is fixed for the agreed services, with no meter. The sooner you send us the details, the easier it is to reserve the right fleet for your event dates.

Invoicing can be arranged by event, by department, by cost centre or with the reference you give us, such as the congress name or a project number. This is useful for agencies and organisers who need to pass the transport cost on to their end client. If you prefer, we can also split the services for each day of the event into separate invoices.
