Checklist

1. Guest list by pickup point

Start by finding out who needs transport and from where. Typical pickup points are:

• Hotels where guests are staying.
• A meeting point in the city that is easy to reach.
• The airport or train station, for guests arriving on the day.

Note the number of people at each point. That figure decides the type and number of vehicles.

2. Outbound timings

Work backwards from the ceremony time. Leave a margin so guests arrive with time to greet each other and take their seats. If the ceremony and reception are in different places, add that transfer too.

3. Venue access

Many country estates and farmhouse venues (masies) in the Penedès, the Garraf coast or the Maresme have narrow or restricted access roads. Check:

• Whether vehicles can reach the entrance.
• Where passengers can be dropped off and picked up.
• Whether there are access times or restrictions.

Share this with your transport company. An exact address and a venue contact save a lot of trouble.

4. Late-night returns

This is the part most often left open. Not everyone leaves at the same time: families with children and older guests usually go earlier than those who stay until the end. Plan at least two return runs, one midway through the party and one at the end. Keep in mind that Spanish wedding celebrations often run late into the night.

5. One coordinator

Choose one person, not the couple, as the transport contact on the day. They will speak to the drivers if timings change or a guest is running late.
